STANDARD BOOKING REQUIREMENTS - AIRPORT TRANSFERS, SPECIALISED TAXI & EXECUTIVE SERVICE


Please read through carefully and note ALL of the following:

By making this booking you accept and agree to our terms and conditions including the promise to pay in the event of a client 'no show' as detailed below.

All bookings must be pre-booked and confirmed either verbally, by email, or by using our online booking facility, clarifying all the relevant information required including the price quoted before the date/time of travel.

Airport Express MK Ltd does not charge VAT on any of our bookings to date and therefore you (the client) will not be charged or have to pay any VAT.

LUGGAGE & PASSENGERS

It is important that you (the client) let us know exactly how much luggage you intend to take at the time of booking to ensure the appropriate sized vehicle is provided. Airport Express MK Ltd accepts no responsibility for any incorrect, withheld or false information provided by client that results in the wrong type of vehicle arriving to pick you up on the day. This will only result in delays which could otherwise have been avoided. Should a larger vehicle be required to accommodate the amount of luggage, then you (the client) will be required to pay the appropriate cost for the correct sized vehicle.

The hirer (i.e the client) must also request the correct sized vehicle based on the number of passengers travelling. Airport Express MK Ltd will not and cannot be expected to contravene any part of legislation which applies to the use of vehicles under the road traffic act.

* Car = 1 - 4 passengers + 2 large suitcases + hand luggage
* Estate = 1 - 4 passengers + 4 large suitcases + hand luggage
* Small MPV = 1 - 6 passengers + 4 large suitcases + hand luggage
* Large MPV / Minibus = 1 - 8 passengers + up to 8 suitcases + hand luggage

CHILD SEATS

Please note that we do not provide child seats, but you are more than welcome to use your own and we will happily store them for you free of charge and ensure that they are placed in the correct vehicle ready for your inbound return pick up. Should you chose to take advantage of this service, you must provide us with a labelled sack for each child seat with the return Date, Time, Flight No, Airport & Family Name.

IMPORTANT: If however, you have booked an OUTBOUND ONLY journey with us and would like us to store your child seats until you return, there will be a storage fee of £1.00 per day, which must be paid in full on collection.

Airport Express MK Ltd accepts no responsibility or liability for any loss or damage to any child seat left with us and as a result will not be liable for any compensation. Child seats are left at the clients/owners risk.

ADDITIONAL PICK-UP'S & DROP OFF'S

Any additional pick up's or drop offs are extra and vary from £5.00 - £10.00. Charges depend on the distance between each pick up or drop off and are solely at the discretion of Airport Express MK Ltd. Ask at the time of booking.

TOLLS, CONGESTION CHARGE & SOILAGE FEES

Any additional pick ups, drop off's or deviations, tolls, congestion charge fees, waiting time and soilage charges are extra.

In the event of a vehicle being soiled or damaged by you (the client) a minimum valeting charge of £50.00 will be applied.

EMAIL & SMS CONFIRMATIONS

If you have made an online booking, as soon as you submitted the booking you will instantly receive an email confirmation which then allows you to double check that all the information you have submitted is correct. Should this not arrive within the hour then please double check your spam and junk folders as they can sometimes end up there? It is the clients responsibility to ensure that all details submitted on the booking are correct. Airport Express MK Ltd cannot and will not be held responsible for any errors made by you (the client) and any additional charges a result of such errors will be deemed the clients responsibility.

With SMS messages, as long as you have supplied us with a mobile number, for added peace of mind you will receive a text confirmation of your booking between 16:00 - 18:00 (GMT) the day before you travel (each way) together with the driver's name, contact mobile number and vehicle details. Should you not receive an SMS then YOU MUST contact us immediately on +44 (0)1908 631231 to reconfirm the booking as it may not be our system and will be deemed invalid.

CANCELLATION POLICY

All cancellations require a minimum of 12 hours notice prior to the agreed pick up time and MUST be made directly with the office by way of telephone and/or email and NOT with a driver. Also, under no circumstances should any bookings or changes to job details be made with a driver directly. These must also be made directly with the office by way of telephone and/or email.

The full price of the booking will be charged to client for all cancellations outside the minimum notice period required. Any pre-paid cancellations made within the minimum required notice period will be refunded subject to a 10% administration fee.

REFUND POLICY

This is the Refund Policy of Airport Express MK Ltd. Please read this carefully.

If you have made a booking with Airport Express MK and have already prepaid over the phone or online and wish to cancel the booking for any reason, we will issue a full refund of your transaction as long as the cancellation is made within the minimum notice period required.

All prepaid bookings cancelled less than 12 hours prior to the scheduled pick up time will be refunded in full subject to a 10% administration fee.

All cancellations must be made directly with the office by way of telephone and/or email and NOT with a driver. We will not be responsible for cancellations made directly with a driver that are not relayed to us in time and will be deemed invalid.

PAYMENT OPTIONS & TERMS

Airport Express MK Ltd accepts payment by Cash, Cheque, Credit Card, Debit Card, Bank Transfer & Account facilities available on request.

Payments made by cash or cheque must be paid directly to the driver either before or at the end of your journey. A receipt will be issued on request. All cheques made payable to 'Airport Express MK Ltd' will be subject to an additional £1.00 banking fee.

All payments made by Credit Card & Debit Card will incur an additional 5% surcharge.

You can use our Book & Pay Online System or call the office to prepay in full. Alternatively, the driver can take your card details on the day and relay these back to the office for processing and fully detailed receipt of the transaction will be sent to the email address you have provided.

Any payments made by Electronic Bank Transfer will need to be pre-paid before the date/time of travel. Details available on request.

ACCOUNT CUSTOMERS

Payment terms are 14 days from the date of invoice.

At our discretion, Airport Express MK Ltd reserves the right to suspend overdue accounts until payment is made in full, and/or charge interest on any overdue invoice at the base rate of interest plus 10%.

ROUTES & TIMINGS

At our discretion, Airport Express MK Ltd reserves the right to charge extra for any deviations that differ from the original booking.

The routes chosen by the driver are solely at the discretion of the driver and/or Airport Express MK Ltd. Whilst we will do our best to accommodate any special requests at the time of booking, the driver will usually choose the most time effective route, taking into consideration the time of day and traffic conditions, etc. Should you (the client ) insist on a particular route that is not consistent with the route usually taken then please be aware that Airport Express MK Ltd accepts no responsibility for any such deviation that may or may not result in a delay. This may also affect the final price of the journey and any additional payments are to be made by you (the client) to the driver on the day.

Whilst Airport Express MK Ltd and our drivers/service partners will endeavour to do our best to choose the most reliable route based on traffic reports and time of day in order to avoid any issues. Airport Express MK Ltd does not accept any liability should you (the client) miss your flight/boat/train or appointment due to delays/forces beyond our control such as traffic issues, accidents, breakdowns, adverse weather conditions or any other unforeseen circumstances considered to be an act of God. Airport Express MK Ltd do not offer any guarantees or issue any compensation for such events, therefore shall be under no liability whatsoever for any indirect and/or direct loss or expense (including loss of profit) suffered by you (the client) as a result

The timings we quote and advise are done so as a general guide and therefore the final timings are the clients sole responsibility. We do not accept liability for any costs incurred as a result of a missed flight, boat, train or an appointment due to forces beyond our control. For example, traffic issues and/or breakdowns and as such Airport Express MK Ltd do not offer any guarantees or issue any compensations for such events. Therefore Airport Express MK Ltd shall be under no liability to the client whatsoever for any indirect and or direct loss and/or expense (including loss of profit) suffered by you (the client) as a direct result.

AIRPORT PICK UPS

On all airport pick ups we will require the date/time of arrival together with the flight number, and where applicable, the name and number of the arrival terminal. This enables us/the driver to monitor the flight status for any delays. However, please be aware that Airport Express MK Ltd cannot be held responsible for any mis-information obtained from either the you the client or any online facility. Although we understand that this is not always possible, in general we will require the mobile number of the person who is travelling to enable us/the driver to have direct contact with that person in order to avoid any problems or complications.

Should your flight be diverted to a different airport, we/the driver will remain at the original airport as per your booking until we hear from you? Airport information can be unreliable on these occasions and it is more likely that you/the client will know well before us/the driver, where the flight is being diverted to. Any waiting time and parking fees are additional and payable to the driver on the day, so in the event of this happening please contact the office and/or the driver as soon as possible to ensure things run as smooth as possible.

MEET & GREET SERVICE

Your driver will be waiting for you in the arrivals hall with a name board approximately 15 - 20 minutes after your flight has landed. Apart from the booking confirmation text message you receive on the evening prior to travel with the driver's name, contact and vehicle details, you will also receive a text message from the driver, introducing themselves and confirming a meeting point, and he or she will assist you with your luggage back to the vehicle.

Should you be delayed at airport security, immigration or baggage re-claim for any reason you must contact your driver directly on the number given in your booking confirmation text message and/or inform us immediately so we can relay this information to the driver. Any additional parking costs or waiting time are chargeable and payable by you (the client) to the driver on the day.

AIRPORT PARKING

Express Set Down, Drop Off fees are compulsory and additional to the airport rate and currently apply to Bristol Airport £1.00, Birmingham & East Midlands Airport £2.00, Luton & Liverpool John Lennon Airport £3.00 & Stansted Airport £3.50.

These fees are also optional for return pick up's from the afore mentioned airports ONLY and at the client's request.

Short stay parking fees on airport pick up's currently vary from £5.00 - £13.00 up to 1 hour ONLY, and 1 - 2 hours at cost.

WAITING TIME

Waiting time, although very rare, is charged at a rate of £0.30 pence per minute. However, PLEASE NOTE that charges will only be calculated and applied one hour after the actual time of arrival (not one hour after the scheduled time of arrival).

This means if your flight is late, you will not incur charges until one hour after the flight has actually landed, which in most cases is sufficient enough time for you to meet your driver and begin your journey home. Any additional parking costs or waiting time are payable by you (the client) to the driver on the day.

RATES, CHARGES & EXCLUSIONS

All prices are charged in sterling (GBP)

All prices quoted are the price you pay subject to any additional pick ups, drop offs, parking fees, waiting time or changes to the original booking. In the event that you (the client) 'no show' the booking then you will be charged and/or invoiced for the total amount as per your pre-agreed booking.

By confirming a booking with Airport Express MK Ltd, either verbally or in writing, you are entering into a legally binding contract whereby you (the client) agree to pay the full fair, including any costs for additional pick ups, drop offs, parking fees, waiting time, recovery costs incurred or 'no shows'.

Cancellations will require a minimum of 12 hours notice prior to the arranged pick up time and must be made directly to the office by way of telephone or email. Please note that until you (the client) receive a reply from Airport Express MK Ltd confirming your cancellation, the booking will stand and you will be charged/invoiced for the total amount as per your pre-agreed booking.

Airport Express MK Ltd accepts no responsibility for any mistakes made by the client (for example: cancellation sent to wrong email address) so please follow up any cancellations you make within the minimum notice period required. Under no circumstances should any bookings, cancellations or changes be made to a driver directly. Any pre-paid cancellations made within the minimum notice period required will be refunded subject to a 10% administration fee.

If for any reason you are unable to locate your driver and you seek an alternative method of transport without first consulting Airport Express MK Ltd in order to give us the opportunity resolve the situation, then you (the client) will be charged the full fare including any costs incurred for parking fees, waiting time, tolls, etc.

SURCHARGES WILL BE APPLIED ANNUALLY ON THE FOLLOWING DATES & TIMES:

* Christmas Eve from 12:00, Christmas Day, Boxing Day & 27th December up to 06:00 hours - ALL bookings will be 100% charged at double fare. Please note that this includes ALL pre-booked flights that are delayed and happen to fall between these dates & times.

* New Year's Eve from 18:00, New Year's Day & 2nd January up to 06:00 hours - ALL bookings will be 100% charged at double fare. Please note that this includes ALL pre-booked flights that are delayed and happen to fall between these dates & times.

IMPORTANT: Please note that he office will be closed during these periods so should you need to make a booking, please do so in advance to avoid any last minute complications or disappointment. All bookings during these periods MUST be confirmed by email or via our Airport Transfer Instant Price Guide & Online Booking System featured on our Home Page & Airport Transfers page, and a member of our customer services team will endeavour to respond within the hour.

Airport Express MK Ltd reserves the right to change or review our prices, taking into account movements in fuel prices, currency fluctuations, any legislative changes or any other charges that are beyond our control. Clients will be notified of any changes and any bookings made prior to an increase will be honoured.

Airport Express MK Ltd accepts no responsibility for any loss or damage to property whatsoever, regardless of how such loss or damage may have been caused. Any property left in a vehicle will gladly be returned subject to you (the client) agreeing to meet any costs to cover the postage and packaging and/or transport.

Airport Express MK Ltd shall be under no liability whatsoever for any indirect loss and/or direct loss or expense (including loss of profit) suffered by you (the client) arising from a breach of these terms and conditions by the company.

Airport Express MK Ltd does not accept responsibility for any missed flights, boats, trains or appointments that are due to delays/forces beyond our control such as traffic issues, accidents, breakdowns, adverse weather conditions or any other unforeseen circumstances considered to be an act of God.

The timings and advice given when making your booking are a general guide, therefore the final timings are your (the clients) responsibility. Airport Express MK Ltd offer no guarantees or issue any compensation for such events, therefore shall be under no liability whatsoever for any indirect and/or direct loss or expense (including loss of profit) suffered by you (the client) as a result.

SERVICE PARTNERS

Airport Express MK Ltd reserves the right to acquire the use of selected and approved service partners to provide the same level of service on our behalf.

Cancellations MUST be made directly with the office by way of telephone and/or email and NOT with a driver. Also, under no circumstances should any bookings, cancellations or changes to job details be made with a driver directly. These MUST also be made directly with the office by way of telephone and/or email.

LICENSE & INTELLECTUAL PROPERTY RIGHTS

Airport Express MK Ltd grants you a non-exclusive license to access and use the content in this web site for personal purposes. However, you are not permitted to reproduce or distribute any part of the content for any purpose without prior written consent.

Airport Express MK Ltd, being the author of this web site hereby asserts its right to be identified as the author of this web site in accordance with section 78 (2) of the Copyright, Designs and Patents Act 1988.

All bookings made shall be deemed to be a confirmation by the Customer to acceptance of these terms and conditions and shall supersede any other terms and conditions from the customer. Any amendments to these terms and conditions must be agreed in writing by both parties.

Airport Express MK Ltd’s use of personal information supplied by you is governed by our privacy policy. Airport Express MK Ltd fully respects your rights to privacy and utilises the following practices in relation to any information we are provided with. In order to provide service to you as a customer of Airport Express MK Ltd we may require you to provide certain information to us. Common items may include, but are not limited to, the booker and/or the passenger's name, address, phone number and credit card details. By providing this information to Airport Express MK Ltd you are agreeing to allow us to utilise this information to complete all services you request to us.

Whilst every effort has been made to ensure that the information contained in this document is correct at the time of going to print, Airport Express MK Ltd regrets it cannot accept liability for any errors or changes that may occur after publication.
